1. Introduction

Simplify Technology Joint Stock Company ("Simplify", "we", "us") respects your privacy. This policy explains how we collect, use, store and protect personal data when you visit simplify-tech.vn, contact us or use our services, in line with Vietnam's Law on Personal Data Protection, Decree 13/2023/ND-CP on personal data protection and related regulations.

2. Scope

This policy covers personal data of visitors to simplify-tech.vn, newsletter subscribers, people who request a consultation or a trial, and clients (and their representatives) who use Simplify's services.

For websites that Simplify builds and operates for clients on the Salify platform, our client is the data controller for that website's shoppers; Simplify acts as a data processor under its contract with the client. Shoppers should refer to the privacy policy of the website concerned.

3. Data we collect and where it comes from

We receive data from:

• Forms on our website: the contact, free-trial and newsletter forms on the home page and other pages.
• Other channels: phone, email, Zalo, surveys, or when you sign up with us directly.
• Providing our services: when you sign a contract and use the website admin system.

This data may include:

• Contact details: name, phone number, email, address, organisation or business name, and the content of your enquiry.
• Contract and billing details: invoicing and payment information when you sign a service contract.
• Account data: login details for the admin system if you are a client using the platform.
• Technical data: IP address, browser type, device, pages viewed and visit times, recorded in server logs and essential cookies.

We do not intentionally collect sensitive personal data. Please don't send it through the contact form.

4. Why we process it

• To answer your questions, advise you and send quotes you ask for.
• To build and run a trial website when you sign up for a trial.
• To sign and perform service contracts, provide technical support and issue invoices.
• To send service and account notices: admin guides, quotes, renewal information, and planned maintenance or upgrades.
• To send newsletters, event news and offers, only if you've subscribed; you can unsubscribe at any time.
• To survey clients so we can improve our service and understand what you need.
• To run, secure and improve our website and services.
• To meet our legal obligations.

5. Legal basis and consent

We process data on the basis of your consent (for example when you tick the consent box on a form), where needed to perform a contract, or where the law requires it. Consent must be explicit; silence or no response does not count as consent. You can withdraw consent at any time; this does not affect processing carried out before you withdrew.

6. Sharing

We never sell, rent or trade your personal data. We share it only with:

• The infrastructure providers that host and run our systems, under contracts with confidentiality terms: DigitalOcean (servers and databases) and Amazon Web Services (file and image storage).
• Competent state authorities where the law requires, including where there are signs that you have breached our terms of service or the law.

Transfers outside Vietnam: our systems run in data centres in Singapore, so the data you send us is stored and processed in Singapore. Simplify prepares and keeps the impact assessment dossier for transferring personal data abroad that the law requires.

7. Cookies

The website uses cookies it needs to function (for example to remember your language). simplify-tech.vn does not currently use third-party analytics or marketing cookies. If we add them, we will tell you and enable them only with your consent. You can delete or block cookies in your browser settings.

8. Retention

We keep data only as long as the purpose requires:

• Enquiry data: until you ask us to delete it or withdraw consent; if you become a client, until you stop using our services.
• Client data: until you stop using Simplify's services, except where the law requires us to keep it longer.
• Contract and invoice data: for the periods required by accounting and tax law.
• Newsletter data: until you unsubscribe.
• A trial website that is not continued: taken offline on day 7 of the trial; its content and data are deleted 30 days after it goes offline.

After that, data is deleted or anonymised.

9. Security

We take the security of client information seriously. We apply appropriate technical and organisational measures: encrypted connections (HTTPS), role-based access control, regular backups and limits on who can access data, to prevent data being lost, mixed up or changed without authorisation. If a personal data breach occurs, we will notify the competent authority and affected people within the time the law requires.

10. Your rights

Under Vietnamese personal data protection law, you have the right to: be informed about processing; give or refuse consent; access, view and correct your data; withdraw consent; request deletion; request restriction of processing; request a copy of your data; object to processing; complain, denounce or sue; claim compensation as provided by law; and protect your own rights.

11. Children

Simplify's services are for businesses and people aged 18 or over. We do not knowingly collect children's data.

12. Changes

We may update this policy. Before each change, we will post a notice on the website or email our clients. A new version takes effect from the date shown at the top of this page.
